JUWEL HILFE

JUWEL HELP Members of Research Centre Jülich can make their publications accessible to the interested public on the Jülich full-text server by publishing their work a second time. This requires the consent of the first publisher. The full-text server enables the better distribution of publications from Jülich even if the journal in question has not been subscribed to or no PhD theses are available etc. The costs of the server will be borne by the Central Library. The use of the full-text server is free of charge for both authors and readers.

The server provides so-called "collections" and each collection corresponds to a department or an institute of Research Centre Jülich. The publications are assigned to the collection of the corresponding institute. Publications written in cooperation with different institutes will be listed under each institute. The Central Library is responsible for the administration.

BROWSE

JUWEL provides many opportunities to gain an overview of the total holdings at the Central Library:

Browse Communities and Collections leads you to a complete list of collections. Research Centre Jülich is defined as an community, whereas the individual institutes are assigned to collections.

Browse the Titel Index leads you to an alphabetical list with the titles of all publications or materials on the full-text server.

Browse the Name Index leads you to an alphabetical list with the authors of the publications or materials on the full-text server.

Browse the Date Index leads you to a list of all publications or materials on the full-text server arranged according to their date of publication.


SEARCH

With the simple keyword search, the entered search term will be searched in the communities Title, Author, Keywords, Summary, Series, Sponsor, Identification as well as in full texts of archivised materials.

Truncation
Use the stem of a word followed by an asterisk (*) so that your search includes all the terms that begin with this stem. The search for the term ergonom* then includes also search terms such as ergonomic, ergonomical, ergonomics, ergonomist.

Phrase Search
In order to search for a string or phrases, the search terms need to be enclosed by quotation marks (").

Search for exact terms
Use a plus sign (+) in front of a word that must be definitely included in your search. The search for +electron solid must include the term electron and optionally the term solid.

Exclude search terms
Search terms can explicitly be excluded by putting a minus sign in front of the term that you want to exclude. In this way, the search for electron -solid displays all the documents that contain the search term electron BUT NOT the search term solid.

Connecting search terms by Boolean operators

The following Boolean operators can be used to connect search terms.
Please note that these operators must be entered in CAPITAL LETTERS.

AND is used to restrict the search to documents that ALL include terms connected by AND e.g.:
Electron AND solid searches all the documents that include both the terms electron and solid.

OR is used to extend your search. Documents are searched that contain one or several search terms, e.g.:
The search for electron OR solid shows all documents that contain the term electron and all documents that contain solid.

NOT is used like a minus sign to exclude specific terms, e.g.:
The search for electron NOT solid shows all documents that contain the term electron BUT NOT the term solid.

Round brackets can be used to group search terms, e.g.:
(electron OR solid) AND (ion OR implantation) lists all the documents that contain electron or solid and in addition ion or implantation.

Please select a field in the element column that you would like to search and enter the search term on the right. You can combine the search terms by the Boolean operators "AND", "OR" or "NOT". Please note that you should fill in the fields in the given order from the top to the bottom. If you leave out the first element, no search results will be displayed.


ADVANCED SEARCH

The advanced search enables you to restrict your search to specific fields and to connect your search terms with Boolean operators.

Moreover, you can restrict your search to an community, subcommunity or collection.

Please select a field in the element column that you would like to search and enter the search term on the right.
You can combine the search terms by the Boolean operators "AND", "OR" or "NOT".
Please note that you should fill in the fields in the given order from the top to the bottom. If you leave out the first element, no search results will be displayed.

Currently, "Research Centre Jülich" is the only entry in Communities.


COLLECTIONS

Each department or institute corresponds to a collection. These collections contain the documents. With respect to the collections, it is possible to define who is allowed to access or publish the documents and whether specific metainformation for documents in the collection has already been established.

Each collection has its own homepage containing corresponding information.


LOG IN

Some communities and/or functions are only accessible for specific users. If you want to access such an community, the system will ask you to log in. After the log in, the system checks whether your account has the corresponding access authorisation.
All users can create an account that they need, for example, to use the "What's New" service. Special rights can only be granted by administrators.

Before your first log in you have to register. Click on "Create user account" and you will be forwarded to the registration.

Zur Registrierung

To log in with the form, please enter your email address and the password that you used when you created your user account.
Please note that the password is case-sensitive.


REGISTRATION

You must register when logging in for the first time. From the log-in page you will be redirected to the registration form. Here, please enter your email address. This address will be used to send you the necessary information to finish registration.

Stop while uploading a document:

While uploading your document, you have the opportunity to stop the process at any time. If you wish, the status of the document will be saved to continue later. Such unfinished documents can be found in your "My JUWEL".

In the header of the page where you upload the document you will see a progress bar displaying the 7 processing steps. These steps are marked in different colours depending on the status of processing. You can use this bar to switch between the processing steps. When you do this, you will not lose any data.

If you start a new document from your "My JUWEL" page, you can choose from a list of collections where you are allowed to upload your document. This step is omitted, if you upload a document from the homepage of a collection. If you wish to upload a document and you don't have the rights to do so in any of these collections, please contact your administrator. The same applies, if you can't find the right place for your document.


UPLOAD DOCUMENTS: Describe the Document - Step 1

Introductory questions:
The following steps depend on the question you tick. The forms will be adjusted to your entry depending on which of the three statements applies to your document.

This document has more than one title
Sometimes a document has more than one title, e.g. abbreviated titles, translated titles, subtitles etc. If you want to receive this information and make it accessible, please tick this question. You will have the opportunity to enter additional titles in the following.

This document has already been published
If you choose this option, you can enter the date of publication and the publishing house. Otherwise, the system will allocate the date of publication for new documents.

Click on "Continue" in order to go on with the next step or choose "Cancel/Save" to cancel the configuration process. This document consists of more than one file
A document can consist of several files, e.g. a HTML page including picture files or a report with an attachment containing measuring data etc.
If you want to upload several files of a document, please choose this option.

Click on "Continue" in order to go on with the next step or choose "Cancel/Save" to cancel the configuration process.


UPLOAD DOCUMENTS: Describe the document - Step 2

On the following two pages, you have the opportunity to compile metainformation on your document. These metadata serve to better define the contents of your publication and thus to make it more easily accessible.
Please take your time to compile the metadata in as much detail as possible.

Authors:
Please enter the name of persons or organisations that contributed to the publication.

If it is an organisation, e.g. "German Research Foundation", enter the name in the Surname field.


Title:
Please enter the complete title (without abbreviations) that you want to use for the publication.
All documents should have a title.

Other titles:
Here, you can enter other titles or forms of titles.

Date of publication:
This field only appears if you have ticked "This document has already been published".

Eingabemaske Erscheinungsdatum

You don't have to enter the month and day if this information is not available or does not apply to the publication. However, the year of publication must be entered.

Journal or proceedings
This field only appears if you have ticked "This document has already been published".


Series title
Please enter the whole title and, if available, the corresponding number.

Identification codes:
There are different systems using specific identification codes for different documents, e.g. ISBN, ISSN, DOI etc. If your document has such an identification code, you should enter it.

Language:
Please select a language, if the default language does not apply.
If the language you need is not in the list, please select "Other". If the language attribute does not apply to your material (e.g. a picture), please select N/A (Not Applicable)

Click on "Continue" or "Cancel/Save" to continue or to cancel your action.

Key words: Please select suitable key words to define your document in terms of content.

UPLOAD DOCUMENTS: Upload file

There are two methods of entering the name of the uploaded file:

  1. Enter the file name including the complete path and click on "Continue".

  2. Click on "Browse" to access your local system. Go to the file you want to upload and double click on the file. The name will then be transferred to the input field.

Please note:
Some browsers use the default setting "HTML" in their file pick list. In order to display all the files, please select "All files".

As soon as the correct file name appears in the input field, click on "Continue" to upload this file.

Description of the files

If you upload a document which consists of several files and you have therefore chosen "This document consists of more than one file" in the first step, you can enter additional information on your files. For the user this is more clearly structured, e.g. when you upload a HTML page including graphics or to distinguish between the main document and its attachments. Choose a brief and specific description. They will be also be displayed in a file list on the document page


UPLOAD DOCUMENTS: File Formats

To archive a file and make it accessible, it must be clear what file format it is, e.g. PDF, XML, Microsoft Word etc. If the system does not recognise your format immediately, it will ask you to enter it. You can pick the format from a list. If your format is not in the list, choose "Format not in the pick list" and describe your format as precisely as possible in the input field below.

Uploaded document

After having uploaded your file, information on the uploaded file will again be displayed. Please check this information again.

To check if the uploaded file is the file you wanted to upload, click on the file name. The file then opens in a new window.


UPLOAD DOCUMENTS: Final check

Here you can check your document and all the additional information that you have entered again. The individual steps and the corresponding information are summarised in columns. If you would like to change an entry, please click on "Correct one of these entries". You will then be redirected to the corresponding step. An alternative is to use the process bar to switch between the processing steps.

If you are satisfied with your entries, please click on "Continue" to finish. If you would like to cancel the action or to save the document to continue the process later, please click on "Cancel/Save".


UPLOAD DOCUMENTS: Licensing agreement

To accept your document, it is necessary that you consent to the JUWEL licensing agreements. If you have any further questions, please send an email to copyright@fz-juelich.de.


UPLOAD DOCUMENTS: Finish upload

top

Now you have saved your document in JUWEL. You will receive an email, as soon as your document is part of JUWEL. On the page "My JUWEL", you can see the documents which are still being processed.


HANDLES

top

As soon as your document is part of the repository, it will automatically receive a permanent URL. This will also be retained if your document is migrated from JUWEL into another system. You should also use this handle when referencing a document from JUWEL. Currently, our URLs are registered in the Handle System. The Handle System is administered by "Corporation for National Research Initiative (CNRI)"


MY JUWEL

As an authorised user you have your own "My JUWEL" community. There you will find:

  • A list of all your documents that have not been uploaded completely yet.
  • A reference to all your documents already accepted and finished uploads.

Editing Your User Data

top

Here, you can edit your user data. To use this feature, you must log in. You can change your personal data and the password for your user account.


Subscription Service: "Alerts"

top

Registered users can subscribe to an email newsletter containing information on new publications from your selected collections.

To subscribe to a collection, you must go to the collection homepage first and click on "Subscription". You will then receive an email whenever there are new publications in the collection.
